management solution.
RICAR SMB (Record Image Capture and Retrieval for Small and Medium Businesses) is an economical turnkey document and content
management software suite for small to medium sized businesses. The RICAR SMB provides an out-of-the-box solution for nearly
every department in the business with content repositories (virtual file cabinets) for Human Resources, Accounting, Credentialing,
Legal & Risk Management, Hospital Relations and Sales.
Since its establishment in 2006, OB Hospitalist has been growing at an exponential rate and recently determined an online
document and content management package would be necessary to maintain control of their documents. OB Hospitalist found that
Freedom's RICAR SMB solution fit their current document and content immediate needs while simultaneously preparing them to easily
migrate the SMB system into one of Freedom's more robust solutions as their business grows. Freedom's solutions integrate
seamlessly with any existing multifunction printer/copier/scanner (MFP). Employees will be able to continue using the same
process while scanning - only now instead of sitting on a networked folder, the documents reside in the document management system.
Freedom worked with OB Hospitalist business personnel, examining their current paper-based operation and how best Freedom could
assist with improving their processes. Prior to the installation, OB Hospitalist staff scanned documents using a multifunction
printer/copier/scanner to online user folders. While digitalizing documents is a useful tool, this process has a few shortcomings.
It can be difficult to find and control access to the documents as it is typically not easy to provide a method of indexing the
documents for easy retrieval if further processing is required. Documents can become more difficult to find within the system as
it becomes cumbersome to find a single document as the volume grows. Many companies find tremendous benefits in utilizing the
scanning capabilities of multifunction devices, and Freedom's RICAR system brings in the access control and search-ability
typically not included with a basic MFP.
In conjunction with the MFP, OB Hospitalist staff also utilizes two Canon P-150 Scantinis that were included with the purchase to
introduce documents to the Freedom system. Once captured, staff further identifies documents via Freedom's workflow module, FreeWf,
by selecting predefined indexes for each virtual file cabinet (VFC). Documents are now retrievable and can be worked online using
RICAR's FreeView module. Retrieval time is now in milliseconds when searching using the predefined indexes such as date, name,
account and type of document. To assist with federal and corporate compliance initiatives, Freedom's RICAR SMB creates a complete
audit trail that includes information regarding document capture, deletion and access from any user. Furthermore, security is
tied directly into OB Hospitalist's Active Directory to ensure only appropriate staff will have access to any of the documents or
content stored within the system.
Freedom's RICAR SMB suite is comprised of:
- One (1) FreeScan client access license (CAL) for capturing documents via scanner.
- Six (6) FreeImport CALs for importing any file types into the management system including TIFF, PDF, Word, Faxes, WMV and MP3 files. Files can be dragged and dropped into the FreeImport folders or scanned to the folders with multifunction printers.
- Six (6) PreConfigured Virtual File Cabinets (VFC) to store documents online with preconfigured document indexes for quick document retrieval.
- 25 FreeView CALS allowing for less than three (3) second document retrieval from Virtual File Cabinets straight to desktops.
- FreeWf CAL for assigning documents specific indexes for fast retrieval.
- FreeReport CAL for reporting productivity, document access and statistical activity.
