April, 2008 – Freedom Imaging Systems (Freedom) is excited to announce its newest feature to the Record Image Capture And Retrieval (RICAR) suite – Microsoft Office interfacing! With the ability to interface seamlessly with Microsoft Office, you can save updated versions of any Microsoft Office documents back into RICAR’s FreeView virtual filing cabinet without the hassle of re-indexing. FreeView has had the ability to open up any file format by launching the application associated with the particular file format being launched (i.e., MP3 file launches with iTunes). Now, FreeView will launch Microsoft’s associated external application, thereby accessing documents via Microsoft Word, spreadsheets via Microsoft Excel, emails via Microsoft Outlook, etc; however, now from within the Microsoft Office application, you can automatically save multiple versions of the same file within FreeView and eliminate the redundancy of manual indexing.
This new and close integration with Microsoft Office applications, allows you to make on-the-fly changes to the existing files and easily archive the file back into FreeView’s Virtual Filing Cabinet with just a couple of mouse clicks. In example, open an original file from “Contracts” VFC and save a revised version back into the VFC in an “Updated Contracts” folder. You also now have the ability to save the files into RICAR’s business process solution, FreeWf, and automatically trigger a workflow. For example, your organization has a master contract that is revised yearly. The RICAR system will allow you to open the contract from FreeView into Microsoft Word, make necessary changes, save the revised copy back into the virtual filing cabinet in FreeView, and send the same file into a workflow queue to be further processed and verified by another department such as the Human Resources or Legal department.
This feature will allow you to avoid redundancies in indexing, as well as expedite the searching and retrieving documents by maintaining new, existing and updated versions of the documents in the same location easily. Furthermore, it will allow you to better streamline your business processes by automatically triggering a workflow upon “saving.” Anyone with access to the Virtual Filing Cabinet in FreeView or the designated queues in FreeWf can access the updated files. This new feature is ideal for schedules, project management, contracts or any type of file that is updated or changed. This RICAR feature is compatible with both Windows XP and Vista.
