Located approximately 45 miles south of Nashville, a local leader in anatomic pathology services has been providing testing for nearly three decades. PCA Southeast, a progressive organization whose goal is to provide the finest pathology services to the Southeast region, is improving the quality of life in Tennessee, Kentucky, Mississippi and Alabama.
For years, PCA has battled the problems associated with thousands of test requisitions being processed and archived each month. This complication was compounded by the over abundance of records generated and maintained by PCA’s Billing and Accounts Receivable departments. Filing cabinets, storage rooms and even hallways were struggling to house the paper archives. PCA decided it was time to resolve their paper problem with a better document management system.

Requisitions are accessible online, keeping paper handling from fouling the business process. The Accounts Payable department scans invoices with Billing adding Explanation of Benefits (EOB’s) to the system, giving billing staff electronic searching capabilities through thousands of pages formerly searched by hand. Administrators now have the tools to track each requisition from start to finish. Laboratory QA/QC and Human Resources plan to commence scanning later this year.
Hardware and software installation spanned a total of three days, with a fourth day designated for staff training. “Go-live” resulted on the fifth day. PCA is presently gaining the efficiencies behind having their vital records at everyone’s finger tips. Employees spend more time meeting customer needs with less effort lost to redundant processes.
